To maintain the integrity of our annual conference and ensure a fair and productive environment for all registered exhibitors and attendees, we strictly enforce an anti-suitcasing policy. Suitcasing refers to non-exhibiting companies or individuals soliciting business in the exhibit hall, public spaces, or within hotel facilities, thereby circumventing the established exhibition structure. Prohibited Activities
Unauthorized Sales & Marketing: Non-exhibiting vendors may not engage in sales activities, distribute promotional materials, or solicit business anywhere within the conference venue, including common areas, hallways, meeting rooms, and hotel lobbies during official show hours.
Unapproved Meetings with Attendees: Companies that are not official exhibitors or sponsors may not conduct meetings with registered attendees for business solicitation purposes in public spaces, hotel suites, or restaurants within the headquarter or other contracted hotels during show hours.
Off-Site Sales Meetings: Hosting private events, product demonstrations, or sales presentations at off-site venues in an attempt to solicit business from conference attendees is strictly prohibited during show hours unless arranged through official sponsorship or exhibition channels.
Internal Staff Meetings: Exhibiting companies and companies that registered for the conference may hold internal meetings with their own employees at the headquarter hotel or other venues during or after show hours.
Client Hospitality: Exhibitors may host private hospitality events for networking or relationship-building purposes after show hours.
After-Hours Meetings: Meetings that take place outside of official show hours are acceptable if they involve sponsors, vendors, or registered attendees.
Violations of this policy will be addressed by event organizers and may result in the following actions:
Verbal and Written Warnings: Initial violations may result in an official warning.
Revocation of Event Access: Offenders may have their event credentials revoked and be removed from the premises.
Ban from Future Events: Companies or individuals found in violation may be barred from participating in future conferences.
We appreciate the cooperation of all attendees and exhibitors in upholding the integrity of our event. If you have questions or wish to report a violation, please contact Chris Ballman at cballman@assp.org or +1 (847) 768.3437.
